This privacy policy is intended to inform you, clearly and transparently, of how the companies of the Congebec group — namely Congebec Logistique inc., Congebec inc. and Congebec (Transport) inc. (“Congebec”, “we”, “our”) — collect, use, disclose and protect your personal information, as well as the rights available to you in respect of it.
This privacy policy applies to the personal information we collect through our website congebec.com or any other third-party website, when you communicate with us or in the course of our business activities. Our website is intended for persons aged 14 and over. Minors under the age of 14 are asked not to provide us with personal information without the express consent of the holder of parental authority.
For greater clarity, the personal information of persons who apply for a position with us and of our employees is also subject to complementary policies specific to those situations, which supplement this policy (see our Personal Information Protection Policy – Candidates and our Personal Information Protection Policy – Employees).
This privacy policy also does not apply to any link that refers to external websites. For greater clarity, we are not responsible when you are redirected to an external website, and you will be subject to the policy applicable to that external website.
In this document, “personal information” means any information that relates to an identified or identifiable person. Such information may include, for example, first and last name, addresses, email addresses, telephone numbers and date of birth; and “sensitive personal information” means any information relating to an identified or identifiable person that gives rise to a high reasonable expectation of privacy. When you visit our site, when you communicate with us, or in the course of our business dealings, we may collect personal information concerning you.

Business personal information of our partners, professional clients, suppliers and prospects: such as business email address, business mailing address and business telephone number, and past orders or interactions with our representatives. This information is used by the internal teams responsible for communicating with our suppliers, service providers and clients in the course of our commercial activities. This business information may also be collected and used by our commercial teams responsible for promoting our services and business collaboration opportunities.
Personal information you provide when interacting with us: in particular when you communicate with us through our online form, by email or by telephone, or when you visit our storage facilities. Please note that if you provide us with personal information about other individuals, you must ensure that you have duly informed them that you are providing us with their information and, where applicable, obtained their consent to such disclosure. In any event, given the nature of our activities, we are essentially led to collect and process business information related to the services and products offered by Congebec.

Implied consent. By browsing our website or using our services, and if you choose to provide us with personal information, you consent to its collection, use, disclosure and retention as described in this policy.

Internal disclosure: within Congebec, only those persons who need to know your personal information for the purposes described in this policy have access to it, and they are required to keep it confidential.

We implement reasonable measures to help protect the personal information we hold. Accordingly, we allow access to personal information only to those of our employees and authorized service providers who need it for the purposes described in this privacy policy. We have taken reasonable administrative, technical and physical protection measures to safeguard against unauthorized access, use, modification and disclosure of the personal information under our custody and control.
6. Retention and Location of Information
Your personal information is currently hosted in Canada or, where we engage third-party service providers, they may store and process your information in any country in which we engage them (namely Canada, the United States or a country in Europe). In such a case, we carry out all steps required under applicable law, including in particular a privacy impact assessment to document and ensure the protection of the personal information.
Your information is retained for the period necessary to achieve the purposes for which it was collected. This period may vary depending on applicable legal requirements.
We maintain retention schedules to ensure that your personal information is retained only for the period reasonably necessary for the purposes for which it was collected or to satisfy our legal and regulatory obligations, taking into account applicable limitation periods.
Once the retention period has been reached, we destroy or anonymize your personal information using secure procedures. Anonymization is carried out only for serious and legitimate purposes and in accordance with generally recognized best practices, as provided by law.

In certain circumstances and in accordance with applicable personal information protection laws, you may have the following rights: (i) the right to request access to your personal information; (ii) the right to request the correction of personal information about you; (iii) subject to applicable law, you may request that we delete personal information we hold about you; (iv) you may request that we transfer certain personal information to another party (right to portability); (v) you may ask us to withdraw your consent to the use or disclosure of your information; (vi) you also have the right to file a complaint or to request information about how we process your information.

If you are dissatisfied with our response, you may request a review of the decision. You may also file a complaint with the competent authority in your province: in Quebec, the Commission d’accès à l’information; in Alberta and British Columbia, the Office of the Information and Privacy Commissioner.
